The work of our <\/span><i><span style=\"font-weight: 400;\">Thought Partners<\/span><\/i><span style=\"font-weight: 400;\"> in June 2020 and Centers for Disease Control and Prevention\u2019s (CDC) guidelines continue to influence and guide ACPS as we plan and prepare, specifically:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We anchored all of our work in the <\/span><a href=\"https:\/\/esbpublic.acps.k12.va.us\/attachments\/8d2ff459-68fd-40a9-bc81-1107957910b3.pdf#page=46\"><span style=\"font-weight: 400;\">guiding principles (PDF)<\/span><\/a><span style=\"font-weight: 400;\"> developed in our sessions in June 2020.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We based our Cross-Functional Planning Team structure, membership, and activities on the guidance from our Thought Partners and CDC.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We surveyed staff and families to deepen our understanding of the preferences and needs, directly informing our designs for both 100% virtual and hybrid return models.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We have conducted several <\/span><i><span style=\"font-weight: 400;\">Reopening Community Chats<\/span><\/i><span style=\"font-weight: 400;\"> to listen to our staff, students and families to raise awareness of issues that we may not have fully considered for reopening schools.<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">We designed student schedules to support both Hybrid and Virtual models.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Below, you will find a set of resources to explore to broaden your understanding of our activities and accomplishments. These essential preliminary questions will guide our work for providing an update to the School Board, Thought Partners, Staff and Community on <\/span><b>Friday, July 31, 2020<\/b><span style=\"font-weight: 400;\">, where we will share our findings and focus on the following:\u00a0<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How did we utilize the Thought Partners and CDC guidance and input to drive the work of the Cross-Functional Planning Teams?<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">What have we accomplished since our meeting in June, 2020 with Thought Partners to inform our planning process?<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How will we determine the feasibility and practicality of each proposed model?\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">How leaders, staff and community members will assist ACPS to continue to build awareness, uncover additional needs, and develop support?<\/span><\/li>\n<\/ul>\n<h2><strong>Cross-Functional Planning Teams\u00a0<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">On July 6, 2020, we initiated Cross-Functional Planning Teams to expand the cohort of leaders, staff, students and community members involved in the discussion, analysis, and decision making. More than <\/span><a href=\"https:\/\/www.acps.k12.va.us\/cms\/lib\/VA01918616\/Centricity\/Domain\/1509\/Cross-Functional%20Planning%20Team_Roster_07.23.2020.pdf\"><span style=\"font-weight: 400;\">100 ACPS staff, family, student and community members (PDF)<\/span><\/a><span style=\"font-weight: 400;\"> virtually collaborated on Mondays and Wednesdays throughout July to delve into different reopening models, consider the latest guidance, highlight key decisions to be made, and design solutions. Outputs from this group include:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Address Essential Questions from the <\/span><a href=\"http:\/\/www.doe.virginia.gov\/support\/health_medical\/covid-19\/recover-redesign-restart.shtml\"><span style=\"font-weight: 400;\">Virginia Department of Education (VDOE)<\/span><\/a><span style=\"font-weight: 400;\"> and Thought Partners;<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Determine Instructional Models and Design Action Plans to Support;<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Create Materials for Staff, Students and Community; and\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Submit a Comprehensive Reopening Plan to the Virginia Department of Education.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">You can access all of our <\/span><a href=\"https:\/\/www.acps.k12.va.us\/Page\/3138\"><span style=\"font-weight: 400;\">Cross-Functional Planning Team materials<\/span><\/a><span style=\"font-weight: 400;\">, including presentations, videos, and recordings.<\/span><\/p>\n<h2><strong>Engagement Across Our Community<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">In early July, ACPS released a <\/span><i><span style=\"font-weight: 400;\">Staff and Family Survey<\/span><\/i><span style=\"font-weight: 400;\"> seeking two-way communication to inform planning efforts for reopening schools, with both a Hybrid and 100% virtual model presented as options. Survey objectives included:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Based on Current Information\u00a0<\/span>\n<ul>\n<li style=\"font-weight: 400;\"><b><i>Families:<\/i><\/b><span style=\"font-weight: 400;\"> Preferred learning option\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\"><b><i>Staff:<\/i><\/b><span style=\"font-weight: 400;\"> Likelihood return to work on-site<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Most Important Factors Influencing Their Decision<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Comfort Level with Certain COVID-19 Safety Measures<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Transportation Preference<\/span><\/li>\n<li style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Demographics for Analysis Include: Grade Level, School, Race\/Ethnicity, Special Program, Staff Role<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">We had historical participation rates within all groups, with 11,852 Family Survey Responses and 2,077 Staff Survey Responses. You can access the <\/span><a href=\"https:\/\/esbpublic.acps.k12.va.us\/attachments\/38732466-7251-4c6b-b600-573cd3680e2d.pdf\"><span style=\"font-weight: 400;\">survey results (PDF)<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">To further build engagement and connections in the community, ACPS has held a series of <\/span><i><span style=\"font-weight: 400;\">Reopening Community Chats, <\/span><\/i><span style=\"font-weight: 400;\">to conclude on July 28, 2020, to hear in greater depth about the particular issues that specific communities may face in the fall and begin to work through potential solutions to them. Ideas and discussions from the chats are being shared with the <\/span><i><span style=\"font-weight: 400;\">Cross-Functional Planning Teams<\/span><\/i><span style=\"font-weight: 400;\"> for their analysis and consideration and potentially including into the processes and protocols they develop to reopen our schools safely in the fall.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">All <\/span><i><span style=\"font-weight: 400;\">Reopening Community Chats<\/span><\/i><span style=\"font-weight: 400;\"> are recorded and being captioned and posted to the <\/span><a href=\"https:\/\/www.acps.k12.va.us\/domain\/1533\"><span style=\"font-weight: 400;\">ACPS-at-Home website<\/span><\/a><span style=\"font-weight: 400;\">. Take a look to learn more.<\/span><\/p>\n<h2><strong>Prototypes of Hybrid and Virtual Models<\/strong><\/h2>\n<p><span style=\"font-weight: 400;\">We are evaluating schedule options that are aligned to hybrid + virtual models, highlighting implications, and considerations across financial, operational, staffing, safety, etc. Over the course of two weeks, a scheduling team analyzed 18 <\/span><a href=\"https:\/\/docs.google.com\/presentation\/d\/1S4gpNRjM-Dgr_ziOL16l5UgMRfjoMqivGgSI9fiaNI0\/edit#slide=id.g8d65749daf_0_256\"><span style=\"font-weight: 400;\">example schedules and plans<\/span><\/a><span style=\"font-weight: 400;\"> from districts in Northern Virginia, the DMV, and across the U.S. to create schedule samples and division guidance to support school leaders in both hybrid and virtual models. Principals have been heavily involved in creating test school schedules specific for their buildings to identify the benefits and limitations of each model.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The schedule prototypes have been developed, with division guidance articulated across each core area in the Playbooks, the Cross-Functional Planning teams will experience a<\/span><i><span style=\"font-weight: 400;\"> Day in the Life<\/span><\/i><span style=\"font-weight: 400;\"> activity to assess each proposed model&#8217;s feasibility and practicality, building consensus on the most feasible model to reopen our schools on September 8, 2020. Feasibility criteria is centered on the following:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\"><b><i>Constraints<\/i><\/b><i><span style=\"font-weight: 400;\">: <\/span><\/i><span style=\"font-weight: 400;\">Model is possible within current constraints and available resources*<\/span><\/li>\n<li style=\"font-weight: 400;\"><b><i>Input<\/i><\/b><i><span style=\"font-weight: 400;\">: <\/span><\/i><span style=\"font-weight: 400;\">Model supports ACPS community, staff needs and preferences<\/span><\/li>\n<li style=\"font-weight: 400;\"><b><i>Vision<\/i><\/b><i><span style=\"font-weight: 400;\">:<\/span><\/i><span style=\"font-weight: 400;\"> Model is aligned to <\/span><a href=\"https:\/\/www.acps.k12.va.us\/2025\"><span style=\"font-weight: 400;\">ACPS 2025: Equity for All<\/span><\/a><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">*In the midst of planning, we recognize that significant constraints could possibly limit ACPS\u2019 ability to open SY 2020-21 with in-person instruction that aligns to health and safety guidelines and requirements from the CDC.
